NOTICE ON THE PROCESSING OF CANDIDATES’ PERSONAL DATA
This notice is intended for individuals participating in recruitment or competitions for open positions (hereinafter referred to as “Candidates”) at the Company City Service SE (hereinafter referred to as “the Company”).
Recruitment and Evaluation of Candidates
The Company processes Candidates’ personal data for the purpose of evaluating and selecting the most suitable candidate(s) for an open position and establishing an employment contract (hiring the Candidate).
By submitting your CV and/or other documents (e.g., resume, cover letter), you authorize the Company to act as the controller of your personal data and process it for the purpose of internal administration during the recruitment process.
We process only the personal data you provide in your application documents, including:
- Name and surname;
- Date of birth;
- Address;
- Phone number;
- Email address;
- Education;
- Other data confirming your qualifications;
- Details of your current and/or previous employment.
Your personal data related to your qualifications, professional abilities, and competencies may be collected from your former employer only after informing you, and from your current employer only with your explicit consent.
Special Categories of Data
When applying, please provide only information directly related to your qualifications, skills, and experience, which helps us evaluate your potential and career opportunities. Avoid submitting personal information irrelevant to the evaluation of your candidacy (e.g., political views, health status, nationality, personal identification number, religion). The Company assumes no responsibility for the security or lawful processing of such additional data.
Health-related data required during the recruitment process will only be collected and processed in compliance with applicable laws, solely to assess your fitness for work under conditions involving occupational risks. Such data will be collected only at the final stages of recruitment (before offering you a specific position) and only with your explicit consent.
Purpose and Legal Basis for Processing Candidate Data
The Company processes Candidates’ personal data on the following legal grounds:
- Legitimate interest: To identify and select the most suitable candidate for the position.
- Compliance with legal obligations: To verify whether the Candidate meets legal requirements applicable to the Company, such as standards related to impeccable reputation.
If the Company receives your CV or other application documents via job search platforms, career-focused social networks (e.g., LinkedIn), or recruitment service providers, it is assumed that you have been duly informed about the processing of your data and have consented to its transfer to potential employers, including the Company, for recruitment and evaluation purposes.
Sources of Data Collection
The Company may collect or receive Candidates’ personal data from the following sources:
- Directly from the Candidate when submitting an application, including a resume, cover letter, or other relevant documents, such as references.
- Through recruitment, selection, or intermediary service providers, including employment agencies, job search platforms, or specialized career networks.
- From third parties, such as referees provided by the Candidate or current/former employers.
Data Retention Period
Your personal data will be retained no longer than six months after the recruitment process concludes. In exceptional circumstances, such as for the purpose of defending legal claims, data may be processed for a longer period.
If your application is not selected and no employment contract is concluded, all data collected during recruitment will be destroyed within six months of the process’s conclusion unless you agree to have your data stored in the Company’s candidate database.
If you agree to be included in the Company’s candidate database and receive notifications about job opportunities, your data will be retained for three years from the date of consent or until consent is withdrawn, whichever occurs first. After this period, your data will be deleted.
Transfer of Data to Third Parties
Your personal data may be shared with the following third parties:
- Other companies within the Company’s corporate group, when necessary for recruitment, evaluation, or internal administrative purposes.
- Recruitment agencies assisting in the selection process, where only the data necessary for providing specific services will be shared.
- IT service providers ensuring the operation and maintenance of systems used to process your data.
- State supervisory authorities, law enforcement agencies, legal representatives, or courts when required by law or to defend legal claims.
The Company ensures that Candidates’ data is transferred to third parties only under the provisions of applicable laws and with a lawful basis. Candidates’ data will not be transferred outside the European Union (EU) or European Economic Area (EEA).
Candidate Rights and How to Exercise Them
As a data subject, Candidates have the following rights:
- The right to know (be informed) about the processing of their personal data, fulfilled by this notice and other information provided.
- The right to access their personal data.
- The right to request correction of their personal data.
- The right to request deletion of their personal data (“right to be forgotten”).
- The right to restrict the processing of their personal data.
- The right to object to the processing of their personal data.
- The right to withdraw consent to the processing of personal data when it is based on consent.
